Event Planning Consultant
Part-time (20-30 hours per week), $3500-$4500 per month
Short-term (through December 2023)
Remote; Tri-State Area or nearby state strongly desired
Jewish World Watch is seeking an Event Planning and Outreach Consultant to plan and execute an upcoming conference and related events aimed at increasing attention and action on the ongoing genocide of the Uyghur people. The person in this role will work closely with existing JWW staff and be responsible for all logistics and on-site event management. Some travel is expected for conference attendance and site visits.
Core Functions
- Communicate event scheduling and needs with staff, venues, vendors, speakers, and guests.
- Research and choose appropriate vendors and speakers taking into account geographical location, travel and hotel needs, and other variables as they arise.
- Coordinate purchase, delivery, and setup of necessary equipment, such as speakers, stages, chairs, and canopies.
- Assist in the creation and distribution of marketing materials and promotion channels, such as newsletters, fliers, invitations, and social media posts, as requested.
- Assess and secure additional vendors (food servers, audio-visual technicians, etc.) as needed.
- Keep leadership, speakers, vendors, and staff updated on overall project status and changes.
- Stay up to date on local event regulations and ensure all safety requirements are met.
- Track event costs and report expenses while adhering to approved budget limitations.
Qualifications and Skills
- MUST have previous conference planning experience.
- Proven organizational skills with a strong emphasis on project management, schedule coordination, and emotional intelligence.
- Communicates and collaborates effectively with staff, clients, vendors, and all relevant players and organizations.
- Comfortable taking the lead on complex, multifaceted projects while juggling various moving parts.
- Familiar with creating, tracking, adhering to, and reporting on quarterly budgets.
- Extensive knowledge or familiarity with the Tri-State area Jewish or other faith communities strongly desired.
